Managing Employee Clock-Out Restrictions
NX Restaurant allows you to set specific "guardrails" that prevent employees from clocking out until their shift requirements are met.
These settings are most commonly used for roles involving cash handling or guest service, such as Servers, Bartenders, and Cashiers.
1. Setting the "Guardrails" (Portal Configuration)
To decide what should stop an employee from clocking out, you’ll need to adjust their Permission Sets. Navigate to Labor > Permission Sets and select the relevant role (e.g., Server).
Under the Time Clock section, you can toggle the following restrictions:
Clock Out with Open Orders: When disabled, the employee must close or transfer all checks before leaving.
Clock Out with Missing Tips: When disabled, the employee must enter all credit card tips (adjustments) before they can finish their shift.
Clock Out with Open Tasks: When disabled, any side-work or "Shift Tasks" assigned to that employee must be marked as "Done."

2. How the Employee Sees It (POS Experience)
Depending on how your Jobs are configured, employees will encounter these restrictions in one of two ways:
Option A: The Shift Review Screen (Recommended)
If "Display Shift Review upon Clock Out" is enabled in the Job settings, the employee is presented with a comprehensive "checklist" when they attempt to clock out.
The Benefit: It’s a one-stop shop. It shows Sales, Payments, and a list of "Incomplete" items (like missing tips or open tasks) all on one screen.
Actionable: Employees can click directly on the items (like "Adjust Tip") to fix the issue without leaving the clock-out flow.
Â
Option B: Individual Prompt Notifications
If the Shift Review screen is turned off, the system will instead trigger individual pop-up warnings for every blocked action.
The Downside: This can be a bit tedious. For example, if a server has open orders and missing tips, they might receive a "Cannot clock out with open orders" prompt and "Cannot clock out with missing tips" individually, requiring them to click "Confirm" and exit the menu to fix them.
Â
3. Handling Tip Declarations
If your restaurant requires employees to report their cash tips, ensure "Declare tips at clock out" is enabled in the Job settings.
With Shift Review: The "Declare Tips" requirement will appear as a line item on the review screen.
Without Shift Review: A dedicated pop-up prompt will appear as the final step of the clock-out process.
