NX Guest Terminal & Remote Guest Display — Setup & User Guide
The Remote Guest Display is a guest-facing screen and card terminal that pairs to a POS station. It shows the guest their order as it's being rung, lets them sign in for rewards, add a tip, pay by card, and choose how to get their receipt — all on a separate device the guest can see and touch, while your staff keep working on the POS.
This guide is for restaurant staff and managers. It covers first-time setup, everyday use during service, the connection indicator, and troubleshooting.
At a glance
- The host POS is a normal NX POS station where staff ring orders.
- The Remote Guest Display is a separate guest-facing device (e.g. a PAX A3700) paired to that host.
- The device runs a special NX app called the NX Guest Terminal
- Whatever happens on the host — starting an order, ringing items, sending the check to pay — appears on the Remote Guest Display for the guest.
- A small dot in the bottom-left corner of the display tells you at a glance whether it's connected to its host: green = connected, red = not hearing from the host.
What you'll need
Before setup, make sure you have:
- The Remote Guest Display device, powered on and connected to the same Wi-Fi network as the host POS.
- A NX POS station running NX POS, signed in to the same venue as the display.
- A venue pairing code (a short code from NX Portal or your manager) — only needed the first time a device is set up.
- For taking payments: the venue's card processing / merchant account already set up (the same one the host would use).
Same venue, same network. The host and the Remote Guest Display must belong to the same venue and should be on the same Wi-Fi network. If a device was previously used at another venue, it must be re-paired to the new venue (see Re-pairing below).
Part 1 — First-time setup
Step 1 — Power on and pair the display
- Turn on the Remote Guest Display device. You'll see a branded loading screen.
- If the device hasn't been paired yet, it shows "Enter the venue pairing code."
- Enter the pairing code for your venue and confirm.
- The device registers itself to your venue and finishes provisioning. When it's done, it shows the idle screen — your venue's logo, or a rotating set of promotional images if your venue has them configured.
Once a device is paired, it stays paired — it will go straight to the idle screen on future restarts.
Step 2 — Point the host POS at the display
The host POS needs to know which device is its Remote Guest Display.
- In NX Portal, open the host POS station's device settings.
- Set its Remote Guest Display to the device you just paired.
- Save.
If you don't see a Remote Guest Display option for the host device, contact NX support to enable it for your venue.
After changing this setting, fully close and reopen the NX POS app on the host so it picks up the new configuration. The host only re-reads its own settings on launch.
Step 3 — Confirm the connection
- Look at the dot in the bottom-left corner of the Remote Guest Display. Within about 10–15 seconds of the host being ready it should turn green.
- On the host POS, start or open an order. The order should appear on the Remote Guest Display within about a second.
If the dot stays red or nothing appears, see Troubleshooting below.
Part 2 — Using it during service
Showing the order
As you ring items on the host, they appear live on the Remote Guest Display so the guest can follow along and check their order. When you clear the order or move on, the display returns to its idle (branding) screen.
Guest rewards sign-in
- On the display, the guest taps Rewards.
- They enter their phone number.
- Their account is looked up and attached to the order. If they're new, an account is created automatically. Any rewards or loyalty pricing then apply to the order just as they would on the POS.
(No separate login or one-time code is needed — the phone number is all the guest enters.)
Viewing and redeeming rewards
- Once a customer is attached, the guest can tap Your Rewards to see their loyalty progress and any rewards they've earned.
- To use a reward, the guest taps it — it's applied to the order automatically, and the discounted total updates on both the display and the POS.
- If a reward can't be applied (for example, the plan's per-visit limit has already been reached), the guest sees a short message explaining why, which they can dismiss.
Taking a payment
- On the host POS, send the check to pay (tender to the Remote Guest Display).
- The guest is walked through, on the display:
- Add a tip — from suggested amounts or a custom amount.
- Pay — insert, tap, or swipe their card on the device. Follow the on-screen prompts.
- Sign, if a signature is required for the amount.
- Choose a receipt — Text, Print, on-screen QR code, or no receipt (options depend on your venue's setup).
- Thank-you screen.
- Throughout, the host POS shows live status — "waiting for the guest to add a tip," "processing," "approved" — and staff can cancel the in-progress payment from the host if needed.
Part 3 — The connection indicator (the dot)
The small dot in the bottom-left corner of the Remote Guest Display shows its connection to the host:
| Dot | Meaning |
|---|---|
| 🟢 Green | The display is receiving messages from its host POS (the host checks in about every 10 seconds). Everything is working. |
| 🔴 Red | The display has not heard from its host for ~25 seconds. It may not show orders or be able to take payments. See Troubleshooting. |
The dot turning red doesn't mean the device is broken — most often it means the host app is closed, the host lost network, or the host isn't pointed at this display. Work through the troubleshooting steps.
Part 4 — Troubleshooting
| Symptom | Likely cause | What to do |
|---|---|---|
| Dot is red | Host POS is closed, offline, or not pointed at this display | Make sure the host POS app is open and online. Confirm the host's Remote Guest Display is set to this device, then fully close and reopen the host app. |
| Orders don't appear when ringing on the host | Host isn't configured for this display, or the host app was already running when the setting was changed | Set the host's Remote Guest Display to this device in NX Portal, then close and reopen the host POS app. |
| Display is stuck on the venue logo | No active order on the host, or not connected | This is normal when there's no open order. If an order is open on the host and nothing shows, check the dot and the steps above. |
| Display shows the wrong venue | Device was paired to a different venue | Re-pair the device to the correct venue (see Re-pairing). |
| Card won't read / payment won't start | Card reader needs to reload its settings | Open the staff menu (below) and run card parameter download; then retry the payment. |
| Payment charges look wrong / wrong merchant | Merchant account mismatch | Open the staff menu and check the Merchant and Mode shown; if they're wrong, contact your manager / NX support. |
| Rewards don't show for a signed-in guest | Customer not fully attached, or no active rewards | Have the guest re-enter their phone number; confirm the account has available rewards on the POS. |
If a problem persists after these steps, note what the dot shows and whether the host can see its orders, and contact NX support.
Part 5 — Everyday operation
- Automatic restart: the Remote Guest Display re-launches itself after a reboot (including the device's scheduled daily restart), so it's ready for service without staff intervention.
- Locked to the app: in normal operation the device is locked to the Remote Guest Display app so guests can't exit to other screens.
- Staff menu (hidden): tap the top-left corner three times within a few seconds to open a small staff/support menu. It shows the device's current Merchant, Mode, and environment, and offers options to re-pair, reload card settings (parameter download), restart the app, and exit.
Re-pairing (moving a device to another venue, or fixing a mismatch)
- Open the staff menu (three taps, top-left corner).
- Choose the option to change/re-pair (this clears the current pairing).
- When prompted, enter the pairing code for the correct venue.
- Then set that venue's host POS to use this device as its Remote Guest Display (Part 1, Step 2), and reopen the host app.
Quick reference
Setup, in three steps:
- Pair the display to your venue (enter the pairing code).
- In NX Portal, set the host POS's Remote Guest Display to this device — then reopen the host app.
- Confirm the corner dot is green and a test order appears on the display.
During service: ring on the host → order shows for the guest → guest can sign in for rewards, redeem rewards, tip, pay by card, and pick a receipt.
If something's wrong: check the corner dot first (green vs. red), then confirm the host app is open and pointed at this display.
