Streamline Your Delivery Service: End-to-End Setup Guide for Uber Direct 🛵💨
Offering delivery without hiring your own fleet of drivers has never been easier! With the Uber Direct integration in NX Restaurant, your venue can accept delivery orders through your online ordering site, automatically dispatch an Uber courier when the ticket goes live, track the driver to the customer's door, and handle all billing seamlessly in the background.
This guide walks support and implementation teams step-by-step through configuring Uber Direct, testing orders end-to-end, and understanding how delivery billing works!
How It Works: The Simple Overview 🚗
When a guest places a delivery order online, NX POS automatically requests a quote from available providers (like Uber Direct), dispatches a courier, and tracks the delivery status in real time.
Understanding the Money Flow 💰
To keep financial setup crystal clear, remember that delivery billing involves two separate, independent money flows:
| Money Flow | Who Pays Whom? 👤 ➔ 👤 | What Gets Paid? 💵 | When Does It Happen? ⏱️ |
| Flow 1: Guest Checkout | Guest ➔ Venue | Guest pays the raw courier delivery fee plus any optional venue delivery service fee markup. | At checkout when placing the order. |
| Flow 2: Daily Settlement | Venue ➔ NX | NX bills the venue for Uber's cost via our automated billing system. | Once per day during End of Day processing. |
Good to Know: Guests never see the Venue's markup as a separate line item. The customer only sees the raw courier cost and whatever delivery service fee your venue chooses to add as one delivery fee.
Part 1 — Configuring a Venue ⚙️
Pre-Setup Checklist 📋
Before you begin, make sure you have:
- Payment method that the Venue will use for Uber Direct billing.
Step 1: Enable Delivery Billing & Verify Payment: Set up payment method.
- Navigate to the venue's Delivery Billing page in NX Portal.
- Toggle Enable Uber Direct delivery billing to On. (This automatically creates the billing account record).
- Under Payment method, click Add payment method and enter the venue's bank account (ACH) or credit card details.
- Bank Account Verification (ACH Only): If using ACH, Stripe sends micro-deposits. Once received, return to this page and enter the 6-character
SMxxxxdescriptor code in the Pending verification box. - Verify that the account status changes from Pending Bank to Active.
Step 3: Enable Uber Direct on the Order Type: Enable provider.
- Open the venue's Delivery Order Type ➔ General tab ➔ Order Type Settings.
- Ensure the Delivery Mode switch is turned On.
- Under Providers, ensure Uber Direct is selected. (Leaving 'Self Fulfilled' enabled alongside Uber Direct is common and supported).
Step 4: (Optional) Set Venue Delivery Fees & Markups: Configure venue markups.
If the venue wants to collect an extra service fee on top of the raw courier cost:
- Delivery Service Fee: Select the Venue Fee record to use for the store's cut.
- Delivery Service Fee %: Enter the percentage of the courier cost to charge as a venue fee.
- (Note: If left blank, the guest pays exact Uber quote costs with zero venue markup).
Part 2 — How Provider Quotes & Auctions Work ⚖️
When an order type has multiple providers enabled (e.g., Self Fulfilled and Uber Direct), NX POS runs an automated quote auction:
- Self-Fulfilled Eligibility: The system checks if the address falls within a configured venue delivery zone. If outside all zones, Self-Fulfilled is ignored.
- Uber Direct Eligibility: Uber Direct is queried for all requests (Uber rejects out-of-range addresses).
- Lowest Price Wins: Every eligible provider quotes simultaneously, and the cheapest quote wins automatically. (ETA and provider preferences are not factored into the selection).
Practical Tip: If Self-Fulfilled zones are priced lower than Uber's rates (e.g., a $5 flat zone fee), in-zone deliveries will almost always select Self-Fulfilled, while Uber Direct covers all out-of-zone deliveries!
Part 3 — How Delivery Billing Works 💳
- Quotes are Free: Browsing guests requesting delivery quotes incur $0 in charges.
- Single Daily Charge: Rather than billing per transaction, NX aggregates all unbilled deliveries for the business day into one single charge during End of Day processing.
- Re-Run Safe: Invoices are keyed by venue and business date, preventing accidental double charges if close-day is run twice.
- Automatic Retries: If a close-day charge fails, the system automatically retries during the next close-day cycle.
Troubleshooting & FAQ 🔍
| Symptom 💡 | Common Cause 🔍 | Solution / Fix 🛠️ |
| No delivery option offered at checkout | Dropoff address exceeds Uber's 10-mile limit and sits outside Self-Fulfilled zones. | Use an address closer to the store; verify venue address in portal settings. |
| Self-Fulfilled chosen instead of Uber | Address falls inside a Self-Fulfilled zone priced lower than Uber's quote. | Working as designed! To test Uber Direct, use an address outside Self-Fulfilled zones. |
| Order placed but no driver dispatched | Dispatch triggers when orders go live. Scheduled future orders wait for release time. | Wait ~20 seconds for live orders; for scheduled orders, wait until release time. |
| Billing fails with missing customer/account | Venue is missing a Stripe Customer ID or verified payment method for active mode. | Re-check Step 1 and Step 2 settings in Portal. |
| Option for Delivery Not Displaying With Address in Delivery Area | The Venue Area Online Ordering Options doesn't include 'Delivery' order type. | In the NX Portal > Configuration > Areas > Online Ordering verify the Order Types selected. |
