Clock Out with Confidence: The Shift Report ππ³
At the end of a busy shift, the last thing you want to do is guess whether your numbers are correct. The Shift Report is designed to answer one crucial question for you: "How did my shift go β what did I sell, what did I collect, and is everything accounted for?"
Think of it as a compressed, employee-facing version of the Daily Sales report. Instead of showing data for the whole restaurant, it is tightly scoped to a single employee's active time card. It contains everything a server, bartender, or cashier needs to seamlessly close out their shift, reconcile their cash drawer, and get manager sign-off before heading home!
π Daily Sales Report vs. Shift Report: What's the Difference?
While both reports use the exact same underlying data, they serve completely different purposes:
| Feature | Daily Sales Report | Shift Report |
|---|---|---|
| Scope | Entire venue (all staff combined) | Single employee / individual time card |
| Audience | Managers, owners, and accountants | The employee themselves + the closing manager |
| Format | Full, comprehensive column sets for all dates | Compressed columns (name + key metric only) for small screens or receipt printers |
| Purpose | End-of-day official financial record | Quick, individual shift close-out |
| Activity Snapshot | Not included | Included automatically when applicable |
π What You'll See on Your Report
To make reading on a handheld POS terminal or a printed receipt easy, sections are compressed to just two or three columns. Here is what is packed into your summary:
Overall Summary: Your total order count and average check size for the shift.
Sales by Category: Net sales broken down by menu category name and dollar amount.
Employee Summary: A compact breakdown of check counts and salesβperfect for shift leads reviewing their team.
Non-Sales Revenue: Extra items collected like operational fees, automatic gratuities, house-retained tips, paid-ins, and gift card sales.
Tax Summary & Tenders: A clear list of each tax type collected, alongside a breakdown of your payment methods (cash, cards, etc.) with tips included.
Cash Reconciliation: Your personal cash flow equation tracking gross cash in, tips paid out, gratuities, paid outs, and the net cash expected to be in the drawer.
Cash Over / Short: If your venue configures starting banks, this line instantly highlights any financial discrepancies you need to explain before leaving.
Discounts & Voids: Quick counts and dollar impacts of your promotional comps or item deletions.
Open Orders: A list of any checks or tabs still left open that you are responsible for resolving.
Tip Out Suggestion: Automated tip-out calculations by job role based on your shift's sales rules.
β‘ Feature Spotlight: The Activity Snapshot
Unique to the Shift Report, the Activity Snapshot table automatically appears when you run the report for a single time card, or if you pull the report multiple times during the same shift.
It acts as a live delta log, answering the question: "What happened since I last looked at this report?"
π Activity Snapshot Example
| Activity | # | $ |
|---|---|---|
| New Orders | 4 | $218.50 |
| Sales Changes | β | $14.00 |
| Payments | 6 | $312.75 |
| Tips Adjusted | 3 | $48.00 |
New Orders: Guest checks created after your last report pull.
Sales Changes: Existing checks that were modified (items added or removed) since the last run.
Payments: Any new payments applied since you last checked.
Tips Adjusted: Tip modifications recorded since your previous view.
π‘ First-Pull Note: If you have never run this report before during your shift, the Activity Snapshot will conveniently show totals for your entire time card period rather than a delta change, giving you a full-shift blueprint on your first pull!

π οΈ Strategic Ways to Use This Data
Stress-Free Employee Close-Outs: When your shift ends, pull this report at clock-out. Head straight to the Cash Reconciliation section to verify your Net Cash figure. This is the exact amount of physical cash you need to hand over to the manager or drop into the back-office safe.
Quick Closer Verifications: Closing managers can use individual Shift Reports to audit numbers before officially dismissing staff. If a terminal shows a Cash Over/Short discrepancy, it signals an immediate opportunity to investigate the drawer before the employee leaves.
Real-Time Mid-Shift Check-Ins: Because the Activity Snapshot only calculates what has changed since your last view, managers and floor staff can pull this report mid-service to get a live update on new orders, incoming payments, and tip edits without having to re-read the full shift history.
Trace Contested Tip Adjustments: If a server or bartender questions their tip pool payout or terminal totals, the snapshot's Tips Adjusted count and amount provide a clear audit trail of exactly what was modified.
Airtight Open Tab Accountability: Reviewing the Open Orders section at the bottom of the screen ensures that you never accidentally walk away from an unclosed guest tab, preventing closing staff from inheriting orphaned checks.
Need Help? π‘
Why is my Shift Report missing the Activity Snapshot section?
The Activity Snapshot is explicitly tied to individual user actions. It will only generate when the system detects the report is being run in Single Time Card mode. If you run a venue-wide master report, this snapshot will remain hidden.
The report shows an open check that I already transferred to another server.
Check transfers must be fully accepted by the receiving staff member on the POS terminal to clear from your queue. If an order still shows up under your Open Orders block, double-check with your teammate to ensure they hit "Accept" on their terminal screen! π€
Can managers customize which sections show up on the printed Shift Report?
Yes! All sections on this report are controlled by the same configuration keys used in your main back-office dashboard. If you want to hide things like tip-out suggestions or category lists to save receipt paper, an administrator can adjust these toggles in your Configuration Portal.
