Understanding Batch Time & End of Day Time in NX ⏰💳
NX settles the Venue's Credit Card Batch when NX runs the Venue's Close Day process
Since the Credit Card Processor will maintain their own Batch Settlement Time (sometimes referred to as Batch Close Time), it is important to configure the NX End of Day Time in conjunction with the Credit Card Processors Batch Settlement Time.
In some cases when a venue wants to change the processor batch time, you should also verify and adjust the NX End of Day Time so that NX can capture and submit transactions before the processor closes and funds the batch.
📌 Key Rule
Set the NX End of Day Time to 30 minutes to 1 hour before the Platinum batch time.
🧭 What each time does
- Credit Card Processor's Batch Settlement Time
The processor’s daily cutoff. When it hits, the processor (e.g., TSYS, FDMS etc.) closes the batch and begins funding. - NX End of Day Time
NX’s daily cutoff. At this time, NX captures (PreAuth → Capture) and submits all card transactions for that business day to the processor. This must happen before the processor’s batch time.
Understanding Credit Card Settlement & Batching in NX
✅ Do I need to contact the Credit Card Processor first?
Yes—confirm with the processor that the batch time is set to your desired time.
- Once the Credit Card Processor confirms the batch time (e.g., 10:30 PM), set the NX End of Day Time 30–60 minutes earlier.
- If you change NX first but the processor’s time doesn’t change, you risk misalignment (late captures, next-day funding, or split totals).
🕒 Example: NX Cantina
- Requested Platinum batch time: 2:00 AM
-
Recommended NX End of Day Time: 1:00 AM – 1:30 AM
- Many venues choose 1:30 AM (30-minute buffer) or 1:15 AM (15-minute grace beyond the half hour).
- If your venue has heavy traffic at the cutoff, choose 1:30 AM (1-hour buffer) to be safe.
🧰 Where to change the time in NX
NX Portal → Financial → Accounting → End of Day → End of Day Time
After you update End of Day Time, inform managers so they know when tips/adjustments must be finalized.
🧪 Quick checklist before you flip the switch
- Confirm with the Merchant Service Processor the new batch time is live.
- Set NX End of Day Time = batch time – 30–60 minutes.
- Remind staff to enter final tips and close checks before the NX cutoff.
- If you use Offline Payments, remember that only actively captured transactions at Close Day will be submitted in that day’s batch; late recoveries will fund on the next day.
- Verify time zone and consider Daylight Saving changes if applicable.
🧩 Why the buffer matters
- NX needs a window to convert authorizations to captures and submit them.
- A 30–60 minute buffer prevents edge cases (slow networks, high volume, or retries) from pushing captures past the processor’s cutoff.
- If NX End of Day is later than the processor batch time, some transactions may fall into the next day’s processor batch, causing report/funding mismatches.
🆘 Who to contact
- Processor change (batch time): Contact your Credit Card Processor (or Merchant Services representative).
- NX configuration: Update in NX Portal; if you need help, contact NX Support or your reseller.
💡 FAQs
Q: We set the batch time to 10:30 PM but left NX at 11:00 PM. What happens?
A: NX may capture after the processor’s cutoff. Those captures would roll into tomorrow’s batch, leading to funding delays and report mismatches.
Q: Can we use a smaller buffer (e.g., 15 minutes)?
A: NX recommends 30–60 minutes. You can try 15 minutes in low-volume environments, but it’s riskier.
Q: Do we need to restart devices after changing Close Day Time?
A: No restart is required. The new time applies going forward.
