Managing Employee Access in NX Restaurant
In the restaurant world, security and accessibility go hand-in-hand. Whether you’re bringing on a new manager or offboarding a staff member, managing who can log into the NX Portal or the NX Mobile app is a critical daily task.
Here is everything you need to know about linking, creating, and managing employee user accounts.
Granting Portal Access
To give an employee the ability to log in, you must "attach" a user account to their employee profile.
1. The "Search First" Rule
Before creating a new account, you must check if the user already exists in the NX system (they might have worked at a different venue or already created a profile).
Navigate to Labor > Employees and select the employee.
Click the Portal Access tab.
In the Search for a User section, enter the employee's Email, Phone, or ID.
Click Search.
2. Linking an Existing User
If a user is found, their name and details will appear in a list. Simply click on the correct user to link them to this employee profile. This allows them to use their existing credentials to access your venue.
3. Inviting a New User
If the search returns no results, the system will prompt you to create a new user.
Fill in the Email Address, Phone Number, First Name, and Last Name.
Click Create and Attach New User.
The user will receive an invitation (Status: INVITED) to set up their password and finalize their account.
Detaching a User
If an employee changes roles or leaves your venue, you should remove their access immediately.
What it does: Detaching a user breaks the link between the login account and your venue. The user will no longer be able to see your venue's data when they log in.
How to do it: Under the Portal Access tab, click the Detach User button in the Actions section.
Note: Detaching a user does not delete their NX account entirely; it simply revokes their permission to access your specific organization or venue.
Resetting a Password
We’ve all been there—a busy Friday night and a manager forgets their login. Operators, Admins, and Support Technicians can trigger a password reset for any attached user.
Go to the employee’s Portal Access tab.
Under the Actions section, click Reset Password.
This will send a secure password reset link to the email address associated with that user’s account.
