Setup
Do I have to set everything up at each location? No. Set up your units, categories, vendors, items, and recipes once at the Enterprise level and every location inherits them. You only set location-specific things — par levels, stock, and any recipe overrides — per venue. See Getting Started.
What's the fastest way to set up items and recipes? Let Nexy do the first draft. Use Nexy Suggest on an item to propose units and conversions, and Quick Recipe to turn a dish name into a recipe. You review and confirm rather than typing from scratch. See Inventory Items and Recipes.
Why do I set three different units on one item? Because you rarely buy, count, and cook in the same unit. You buy by the case, count by the flat, and use by the each. Inventory converts between them for you. See the three-tier model in Inventory Items.
Stock levels
My on-hand shows a negative number. Is that a bug? No. On-hand can dip below zero if sales outran your last count. Your next count corrects it to the real, physical quantity.
Can I just type in the on-hand quantity? No — on-hand is maintained automatically from sales, receiving, and counts. To set or correct it, run a count. Similarly, last cost comes from confirmed invoices, not manual entry.
I received product but stock didn't change. Receiving updates stock when you confirm the receipt or invoice. If you uploaded an invoice, open it and click Confirm — reviewing alone doesn't move stock. See Invoices.
Depletion & availability
I sold a tracked dish but stock didn't move. Check that the item has Track ingredients turned on and a saved recipe with quantities. Depletion needs both. See Tracking & Auto-86.
A dish got 86'd on its own. That's auto-86 — one of its ingredients hit its threshold. Replenish the ingredient (receive or count it back up) and the dish returns automatically.
I manually turned a dish back on, but the system keeps 86ing it. The dish's ingredient is genuinely below threshold, so auto-86 re-applies. Add stock (and/or adjust the item's threshold) to keep it available. Note that the reverse is protected: the system will never override a manual 86 by auto-restoring a dish.
Do modifiers deplete stock? Base recipes deplete stock. Modifier-level depletion isn't part of this version.
Nexy (AI assistant)
A Nexy Suggest button didn't return anything. Try again in a moment. Nexy makes a suggestion for you to review — if it can't produce one, nothing is changed and you can enter the values manually.
Will Nexy change my data automatically? No. Every Nexy suggestion is review-and-confirm. Nothing is saved until you save it, and you can edit any suggestion first.
Counts & waste
Which unit do I count in? The stock (counting) unit shown next to each line — count in flats, bottles, or cans as you normally would. The system converts to recipe units for you.
Can more than one person count at once? Yes. Count lines auto-save, so staff can split a count across sections into the same sheet, and you can pause and resume safely.
Why should I bother logging waste? Unlogged spoilage and comps show up as unexplained variance, which looks like theft. Logging waste keeps your variance report honest. See Logging Waste.
Multi-location
If I edit a shared item or recipe, does it change everywhere? Yes — anything at the Enterprise level updates all locations. If one location needs to differ, use Override for this venue on the recipe, which makes an independent copy for that location only. See Recipes.
Can two locations use different vendors for the same item? Yes. Add multiple vendor mappings on the item and set a preferred vendor per location. See Vendors and Inventory Items.
