Inventory Items
Items are your ingredients — the raw products you buy, count, and cook with. This is the most detailed setup screen, but Nexy makes it fast. This article covers the three-tier unit model, per-vendor pack sizes, cost, and per-location stock settings.
Where to find it
Inventory → Items. Items are part of your shared Enterprise catalog, so every location uses the same item list.
The three-tier unit model (the key concept)
Every item is measured three different ways, because you rarely buy, count, and cook in the same unit:

- The stock and recipe units — and the conversion between them — are set on the item.
- The purchase unit is set per vendor (in the vendor mappings), because different suppliers pack the same product differently.
Creating an item
- Click New.
- Enter the basics:
- Name — e.g. Eggs, Large.
- Category and (optionally) Storage Location.
- Set Units & Conversion — or let Nexy do it (below).
Let Nexy set up the units
- After naming the item, click ✨ Nexy Suggest in the Units & Conversion section.
- Nexy proposes sensible purchase / stock / recipe units and the conversions between them, based on what the item actually is (for example, "a case of eggs ≈ 5 flats of 24").
- Nexy only fills in tiers you left blank — it won't overwrite your choices — and it creates any unit that doesn't exist yet.
- Review and adjust, then continue.
Set it manually
- Choose the stock (count) unit and the recipe (use) unit.
- Enter the stock-to-recipe conversion (how many recipe units are in one stock unit — e.g. 1 flat = 24 each).
Default cost
- Enter a Default Cost in dollars. This is a reference price used for recipe costing until real prices flow in from received invoices.
- Once you receive invoices, each location tracks its own last cost automatically.
Vendors & Purchase Units
Add one row for each supplier that sells you this item:
- In Vendors & Purchase Units, click + Add vendor.
- Choose the vendor.
- Enter the purchase unit (e.g. Case), the pack size, and how many stock units are in one purchase unit (e.g. 1 case = 30 dozen).
- Add the vendor item number and last price if you have them.
- Mark one supplier Preferred for reorder and costing.
- Use the ✨ on a row to have Nexy suggest the purchase-to-stock factor.
Per-location stock settings
Scroll to the Stock card to manage the numbers that are specific to each location:
- Par level — how much you want to keep on hand.
- Reorder point / threshold — when to reorder and when to auto-86.
- On-hand and Last cost — maintained automatically by the system from sales, counts, and receiving. You don't type these; they're shown for reference (cost is shown in dollars).
Working from the Enterprise level? You can still set a location's stock values — use the venue dropdown on the Stock card to pick which location you're editing.
Note: You never type on-hand or last cost by hand. On-hand comes from sales, counts, and receiving; last cost comes from confirmed invoices. To correct on-hand, run a count.
