Master Your Staffing: Using the NX Shifts Schedule Builder
The Schedule Builder is your central hub for creating, managing, and publishing employee schedules. Designed for speed and flexibility, it allows you to build a week’s coverage in minutes using drag-and-drop tools, templates, and one-click duplication.
Accessing the Builder
To begin, navigate to the Shifts section in the NX Back Office left-hand menu and select Builder. You will see a grid organized by Position (e.g., Bartender, Busser, Expo) and day of the week.
Three Ways to Build Your Schedule
1. Copy from a Previous Week
Don't reinvent the wheel every Sunday. If your staffing needs are consistent, you can pull in a full week's worth of shifts from the past.
Navigate to the week you wish to fill.
Click the dropdown arrow next to the + Add Shift button.
Select Copy from....
Choose the source week from the dropdown and click Copy. All shifts, including assigned employees and times, will populate as a Draft.
2. Drag-and-Drop Scheduling
For a more visual approach, you can pull employees directly onto the grid.
Click the Toggle Employees Panel icon (person icon) next to the + Add Shift button.
Find an employee in the list. You can see their total scheduled hours and shifts for the week at a glance.
Click and drag the employee onto a specific day and position on the grid.
The Add Shift window will automatically appear to let you finalize the details.
3. Manually Add a Shift
If you need to add a single shift to a specific day:
Tap the + Add button in any empty cell on the grid.
Select the Employee and verify the Job (role).
Set the Start and End Times. The system will automatically calculate the total duration.
Fine-Tuning the Shift Details
When adding or editing a shift, you have several tabs to customize the employee's workday:
Shift Templates: Instead of typing times manually, select a pre-configured template (e.g., "Opening" or "Closing") to instantly set the hours. Note: Templates must be created in the Templates menu before they appear here.
Notes: Add Public Notes (visible to the employee, like "Super busy party") or Private Notes (manager-only).
Breaks: Manually schedule specific meal or rest periods for that shift.
Tasks: Assign specific "To-Do" items, such as "Polish Glasses" or "Roll Ups," that the employee must complete before clocking out.
Sections: Assign the employee to a specific area of the restaurant (e.g., "Bar") for that shift.
Publishing and Unpublishing
Until you are ready, your schedule remains in Draft mode, meaning it is invisible to employees.
To Publish: Click the green Publish button in the top right. Confirm the prompt, and the schedule will turn green, notifying all scheduled employees via the NX app or SMS.
To Edit a Published Schedule: If you need to make major changes, click Unpublish. This reverts the week to a Draft, allowing you to move shifts around without sending a notification for every minor adjustment.
