To get your restaurant running like a well-oiled machine, you need to dial in your Schedule Config. This is where you set the "rules of the road" for your staff.
Here is a section-by-section breakdown of every setting available in the NX Portal for Shifts.
1. Publishing
This tab controls when and how your team receives their schedules.
Schedule Weeks in Advance: Determines how many weeks into the future you can create and view shifts.
Publish Day: The specific day of the week the schedule is released to the team (e.g., every Sunday).
Publish Time: The exact time of day the schedule becomes visible to employees.
Auto-Publish Schedule: When toggled on, the system automatically pushes the schedule live at your configured day and time without requiring a manual click.
2. Rules
These settings protect your labor costs and ensure you stay compliant with labor laws.
Shift Rules
Minimum/Maximum Shift Duration: Prevents shifts from being scheduled that are too short to be practical or too long for safety.
Minimum Rest Between Shifts: Ensures employees have enough "turnaround" time (e.g., 10 hours) between a closing shift and an opening shift.
Grace Period: The number of minutes an employee can clock in before or after their start time before a manager override is required.
Hour Limits & Overtime
Max Hours Per Day/Week: Sets a hard cap on how many hours an employee can work in a single day or a standard work week.
Prevent Overtime (Strict): If enabled, the system will physically block a manager from saving a schedule that would result in overtime.
Overtime Warnings: Provides a visual alert during the scheduling process if an employee is approaching their hour limit.
Break Management
Auto-Schedule Breaks: Automatically inserts rest or meal periods into a shift based on the requirements for that specific job role.
Enforce Break Compliance: Tracks whether employees actually took their breaks and warns managers about missed requirements.
3. Nexy & Forecasting
This section uses AI to predict your staffing needs based on your restaurant's data.
Auto-Scheduling Strategy: Choose your priority—Minimize Labor (lowest cost), Optimize Coverage (best service), or Prefer Availability (happiest staff).
Forecast Method: Tell the AI to look at Sales History, Reservations, or a Combined model to predict how many bodies you need on the floor.
Target Labor Percentage: Your goal labor cost as a percentage of projected sales.
Fair Hours Distribution: When toggled on, the system attempts to spread hours evenly across all available employees rather than giving them all to a few people.
4. Notifications
Decide how much "noise" you want to make when things change.
Schedule Published / Shift Changes: Notifies the team immediately when the week is live or if their specific time was adjusted.
24-Hour & 1-Hour Reminders: Automated "don't forget" pings sent to employee phones before their shift starts.
Coverage Gap Alerts: Sends a notification to managers if a shift becomes understaffed (e.g., due to a call-out or a trade).
5. Shifts, Requests & Employees
This tab manages how much control employees have over their own schedules.
Allow Shift Swaps: Enables employees to trade shifts with one another via the app.
Require Manager Approval for Swaps: If on, a trade isn't official until a manager reviews and clicks "Approve."
Allow Shift Bidding: Allows you to post "Open Shifts" that any qualified employee can request to pick up.
Time-Off Requests: Set a Minimum Advance Notice (e.g., 14 days) to prevent employees from requesting off the night before a busy holiday.
